Description


The Communications Committee Secretary will play a crucial role in supporting the ISPAH Communications Committee by facilitating effective communication, organization, documentation, and procedure development. The commitment for this role spans the two years, involving tasks related to meeting minutes, agenda action items, and the development of content to communicate committee processes. You will work closely with the Chair to achieve your tasks. 

Roles: 

  • Maintain and organize the schedule for Communications Committee Meetings, extending at least 6 months ahead of time. 
  • Coordinate communications for committee meetings, including sending electronic invitations and reminders to committee members. 
  • Assist in the preparation of committee meeting materials, including meeting agenda, minutes of previous meetings, and any necessary attachments, in consultation with the Communications Committee Chair. 
  • Coordinate and support internal communications for the committee, utilizing relevant IT software (such as Zoom, MS Teams, etc.). 
  • Record discussions during committee meetings, draft minutes, and circulate them to the committee chair for approval before sharing with committee members. Archive copies as required. 
  • Manage reoccurring and add hoc submissions within the ticketing system 
  • Liaise with other ISPAH committees and act as a point of contact between the Communications Committee and other ISPAH entities. 
  • Undertake ad hoc administrative tasks as required by the Communications Committee Chair. 

Requirements: 

  • Passionate about advancing ISPAH’s vision, mission, and goals. 
  • Commitment to attending monthly Communications Committee meetings. 
  • Ability to commit to the weekly time requirements of the role. 
  • Excellent organizational skills. 
  • Excellent online communication skills (e.g., via Microsoft Teams) or willingness to learn. 
  • Willingness to complete the ISPAH induction process (approx. 1hr in length) and comply with ISPAH policies (Complaints Policy, Communications Policy, Data Management Policy, Partnership and Sponsorship Policy, Equity, Diversity and Inclusion Policy) and data protection procedures. 

The successful candidate will commence immediately, requiring a proactive and dedicated approach. We welcome enthusiastic individuals dedicated to contributing to the success of the Communications Committee within ISPAH.
